Office Manager, Community InitiativesWoodville Alliance (WA) is a not-for-profit community organisation based in Western Sydney and working primarily in Fairfield, Bankstown, Auburn and Liverpool. Further details regarding our services can be found on our website: http://www.woodville.org.au/ POSITION OBJECTIVEReporting directly to the General Manager Community Initiatives (GM CIT), the Office Manager is responsible for supporting operations of the Carramar Community Hub and other CIT activities, as well as providing secretarial assistance to the GM CIT.The Office Manager role has two main purposes. First, to provide a welcoming environment and customer service/information to diverse community members, staff and external partners who use our community hub at Carramar. Second, to ensure the efficient and effective administrative functioning of the CIT hub and office, including assisting the GM CIT with secretarial matters. The successful candidate for the role will have excellent interpersonal skills and be organised and self-motivated.MAIN DUTIES (but not limited to)Effective administrative support to the wider Community Initiatives Team including email inbox management, receiving and appropriately directing phone and email enquiries, data entry and record keeping and assistance in the development and distribution of promotional materialsUphold responsibility for discretion and safekeeping of private and confidential information including appropriate sharing, storage and destruction of such informationPromote the services of Woodville Alliance and provide information/customer services to stakeholders, including clients and community members who ‘drop in’, about the range of programs delivered by CIT and Woodville Alliance - in person, via telephone, mail and emailOverseeing and maintaining the ‘look and feel’ of the office including responsibility for external maintenance services, management and reconciliation of office petty cash and responsibility for office supplies and/or consumablesEfficient secretarial and administrative support to the GM CIT including preparation of presentations and/or reports, calendar management, project assistance such as research or management, event coordination and ad hoc tasks as required ESSENTIAL CRITERIARelevant tertiary qualification e.g. office administration, customer service, business administration, reception or similarA minimum of 4-5 years’ relevant work experienceDemonstrated organisational skills with the ability to work independently, multi-task and meet deadlinesDemonstrated high level customer service skills and ability to understand and respect the needs of people from a wide range of social, cultural, economic and religious backgroundsStrong written and oral communication skills with the ability to draft reports, minutes and correspondence with a high level of accuracy and attention to detailDemonstrated ability to use IT systems for data input/reporting and MS Office Suite (Word, Excel, PowerPoint etc.)Demonstrated experience in exercising discretion and confidentiality in order to handle private and sensitive informationSelf-motivated with strong people skills in order to effectively liaise with internal and external stakeholdersA current and valid Australian drivers license and own vehicle for work purposesHOW TO APPLY Please click apply to forward your CV and letter of application addressing the essential criteria 1 to 5 listed above by COB Thursday 18th February 2021.
