Intake and Referral Officer: Strong Minds Program Perm Part Time, 38 hours per fortnight – Located in Auburn ROLE OBJECTIVEThe programs within our Community Initiatives Team (CIT) offers early intervention support to vulnerable children (birth to 18 years) and their families who are at risk or affected by child protection concerns, mental illness, multicultural issues. It services three funded locations within Western and South Western Sydney. Key aims include: improving children and young people and their families mental health and wellbeing and lessening the impact of mental illness through de-stigmatizing and improving awareness in the community.The primary objectives of this role include supporting the Intake and Assessment processes of the relevant programs, data entry into organizational systems and government portals, providing information and feedback to stakeholders as required, generating reports, contributing to quality improvements, supporting the development of promotional materials and other administrative supports as required. MAIN DUTIESAssist in maintaining and managing referrals to the CIT programs through intake and referral process and overseeing the program email inboxProvide feedback to referrers and clients about the progress of their referral as appropriate and information to stakeholders, including clients, about the CIT Programs either via telephone, mail or emailEnsure all required data for the funding body is available to be entered into WA’s client data management system (SUGAR) and allows for seamless upload to the Department of Social Services data exchange (DEX)Generate reports, including SUGAR, DEX and other as requested by the CIT Program Managers and Community Initiatives General ManagerContribute to Quality Improvements in the Intake and Assessment referral process in consultation with the CIT Managers and teamTo support the development of promotional materials, including use of social media as directed by the CIT Managers and in consultation with the marketing team at the Woodville AllianceProvide administrative support to the CIT teams as directed by the Managers, including but not limited to; minute taking, photocopying, preparing letters, answering calls and other general administrative duties. ESSENTIALTertiary qualifications in disciplines such as Psychology, Social Sciences, Social Work, Data Management, Health Administration etc. with at least 3 years’ relevant work experience OR at least 5 years’ relevant work experience.Demonstrated organisational skills with the ability to multi-task and meet deadlines within a high-volume environment.Prior working knowledge and experience in the use of CRM database, including experience in data entry, data uploads, data cleansing and data interpretation.Demonstrated experience in exercising discretion and confidentiality in order to handle sensitive information.Ability to work independently with minimal supervision while having regard for team and organisational needs.Advanced verbal communication skills to liaise effectively with all stakeholders.Demonstrated high level of customer service and networking service skills and the ability to understand the needs of vulnerable and culturally diverse communities.Advanced written communication skills with the ability to draft reports, minutes and correspondence maintaining a high level of accuracy and attention to detail.Intermediate proficiency with Microsoft Office suite including Outlook, Word and Excel.A current and verified WWCC and satisfactory National Police Check.
